  • Supports team with opernation activities. Responsibilities may include making travel and meeting arrangements, updating dashboards and preparing presentations and financial data. Has advanced computer skills including word processing, spreadsheet, presentation and database software; and may train others. Work is generally of highly confidential nature. Possesses strong interpersonal skills, leadership, negotiation, analytical and problem solving skills.
  • The Operation Specialist II will also serve as back up for the financial and project coordination support to the Head of Device Strategy and Program Stewardship (DSPS) and Leadership Team members and is supporting preparation of MYC and MRP  financial cycle and preparing dashboard for the review.
  • This role is critical for Medical Devices as close collaboration with device development lead, R&D, PharmSci,  Global Manufacturing & Supply (GMS) and other key members will be essential for the reporting and providng support to Medical Device CoE.  
  • Assignments involve work of a highly confidential nature requiring a high level of discretion and judgment. High attention to detail and strong organizational, interpersonal and communication skills are essential to this role.

ACCOUNTABILITIES

Ensures office equipment such as printers, copiers, and faxes remain in working order. Orders and maintains appropriate levels of office supplies. Coordinates with IT for all technical issues. Coordinates with Facilities on staff moves, new hires, or general repairs. Acts as back-up support for Executive Assistant in case of absences or work overflow. Participates in department projects and initiatives.

  • Assist managers and coordinator with employee and contractor on- and off-boarding activities
  • Prepare meeting agendas and pre-read materials in PowerPoint, Excel or Adobe Acrobat
  • Organize department meetings, CoE Townhalls and events; coordinate appropriate resources including IT/AV, facilities, catering and support CoE operational activities
  • Effective calendar management
  • Assist in coordinating MDCoE Quarterly Town Halls and Pharm Sci Town Halls
  • Domestic and international travel arrangements, meeting and conference registrations, and expense reimbursements
  • Support and serve as back up for Device Department CAPEX budget, which includes but not limited to:
    •  Maintaining Budget planning, forecasting, tracking spend, and reporting
    •  Funding requests through FAWE
    •  Responsible for PO requisitions and tracking
    •  Invoice and payment reconciliation
    •  Finance SharePoint updates (funding requests, capital suppliers)
    •  Financial updates and coordinate with GMS and R&D
    •  Update GMS tools
  • Support  Devices R&D Project OPEX budget
    • Planning, tracking spend, reporting,
    • Cost center and I/O management
    • PO requistions and invoice reconciliation
  • Medical Devices CoE SharePoint update with Relevant Budget Information
  • Deal with logistics issues and use project management skills to reach all organizational goals

Other duties include:

  • Headcount and new hires reporting
  • Contingent Labor tracking and reporting
  • Coordinate monthly meetings as needed

  • This position requires strong analytical skills with proven experience in the management of demanding and challenging financial budget reporting.

EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:

  • BA/BS + 5 years experience,.
  • Strong analytical skills with proven experience in managing financial aspects of pharmaceutical projects.
  • Ability to work in team, fulfills commitments and managing multiple stakeholders. Previous financial management in a pharmaceutical industry highly desireable.
  • Demonstrated ability to simultaneously manage multiple tasks of variable difficulty.
  • Health care business acumen with a comprehensive understanding of the pharmaceutical industry is a minimum requirement.

ADDITIONAL INFORMATION

  • Travel of up to 10% may be required
