Title:Associate Director, Project Operations Lead

As an Operations Lead working on the Global Real Estate, Facilities, & Procurement (GREFP) Capabilities team, you will be empowered to drive project delivery, operationalize project management best practices, and drive innovation and efficiency. In this role, you will contribute to Takeda’s mission by supporting integrated-related projects across our many Centers of Excellence in GREFP, including Procurement, Security, Facilities, Real Estate, and Meetings & Travel. This is a BAU role and will continue working on operational project management well beyond integration as well. This role will own the CoE projects, including driving towards deadlines and dashboard reporting, write SOPs and programs, own a Workday HRIS/ATS data optimization project, and help implement new processes and systems within GREFP based on project recommendations from our strategic management partners. This role will implement strategy, and is heavily a do-er / get it done operational position that also needs some strategic mindset and approach to account for diversions from planned project milestones to keep things on track.

While this team supports Global Real Estate, Facilities, & Procurement, we are looking for someone with more of an operational project management-type background; not a facilities/real estate/procurement background per se, although that subject area expertise would of course be helpful in the role.

A typical day will include:

OBJECTIVES/PURPOSE:

  • Develop and implement governance practices for the Global Real Estate, Facilities, and Procurement function
  • Manage and create visibility of function KPIs and SLAs both within Global Real Estate, Facilities, and Procurement and with key stakeholders.  Create forums to develop action plans to make improvements and course correct as required.
  • Own the co-creation and implementation of the Global Real Estate, Facilities, and Procurement function’s vision and strategy.  Create forums and processes that bring the function’s strategy to life and ensure execution.
  • Lead the development of improved management reporting processes.  Partner with Global Finance and HR stakeholders to ensure alignment and adoption.

ACCOUNTABILITIES:

  • Develop and implement governance practices for the Global Real Estate, Facilities, and Procurement function

  • Lead the implementation of the global vision for processes, systems, and tools that span the function.  Leverage digital, automation, and contemporary technology across the function

EDUCATION, BEHAVIORAL COMPETENCIES AND SKILLS:

  • Bachelor’s Degree, preferably in Business management / Operations Research or a related field;  MBA preferred
  • Minimum of 10 years of operations experience required; preferably in a pharmaceutical, biotechnology or healthcare industry communications environment
  • A strong eye for detail, with solid strategic, analytical and planning skills, as well as a creative approach to problem-solving
  • Demonstrates ability to work effectively and collaboratively in a matrix environment
  • A creative thinker with a track record of coming up with new ways to engage internal stakeholders
  • Comfortable with change. Ability and willingness to adapt and thrive in a dynamic environment
  • A pragmatic and flexible approach to time management given calls/meetings may take place in different time-zones to your own
  • Ability to deliver in high-pressure situations and with short deadlines
  • Strong communication and presentation skills
  • Proficiency with SharePoint and MS Office

TRAVEL INFORMATION:

  • Global travel as needed, averaging 10% and up to 30% at times of peak activity.
